Microsoft 365 Adoption and Productivity Lead

Join Resthaven's ICT team as the Microsoft 365 Adoption & Productivity Lead, driving consistent and genuine use of M365 collaboration and productivity tools across our organisation. This is an enablement and adoption role - not a technical administration role. Your job is to ensure SharePoint, Teams, OneDrive, Planner, and the broader M365 suite are genuinely used, well-governed, and embedded into how our people work - not simply deployed.
You will join at a pivotal moment. Resthaven is mid-way through a broader ICT delivery program, and this role begins as part of that project team - helping establish the governance foundations, usage patterns, and enablement frameworks that will underpin M365 adoption across the organisation. Once those foundations are in place, the role transitions into a continuous improvement rhythm: embedding adoption, responding to feedback, and evolving governance as the platform and organisation grow.
This is a permanent full-time opportunity and may require occasional out of office hours work. Reports to: Project Manager – ICT.
What you will be doing
- Work with teams across all divisions to understand how they work and guide them to use SharePoint, Teams, OneDrive, Planner, and other M365 tools in ways that genuinely improve their day-to-day work
- Work with stakeholders to establish and maintain M365 governance standards, reviewing them regularly as the M365 ecosystem evolves
- Act as a hands-on advisor to teams establishing new workspaces and sites, helping them improve information structure, navigation, naming conventions, and content lifecycle practices
- Create and maintain lightweight, user-friendly guidance — how-to, worked examples, and 'when to use what' templates — and work with the ICT Training Team to build and maintain a library of M365 enablement resources on SharePoint
- Deliver targeted, role-based or team-based enablement sessions (not generic training), adapting content and format to the audience
- Gather feedback from business areas on what is and isn't working, identify patterns, and prioritise improvements using M365 features already available in the tenant

You will have:
- Demonstrated experience driving Microsoft 365 adoption and enabling business teams to use SharePoint, Teams, OneDrive, Planner and the M365 productivity suite effectively in their day-to day work
- Strong working knowledge of Microsoft 365; including SharePoint Online architecture, Teams structure, OneDrive, Planner and the M365 productivity suite with the ability to advise on practical usage patterns and governance alignment
- Experience with M365 governance frameworks, tenant administration concepts, and M365 product roadmap processes
- Demonstrated ability to develop user-friendly guidance materials including how-to templates, worked examples, and enablement resources that are accessible to non-technical audiences
- Experience delivering targeted enablement sessions and role-based training to diverse business audiences, adapting content and approach to the needs of the group
- Proven ability to build positive relationships with business stakeholders and influence behaviour change without direct authority
- Understanding of M365 governance principles including information architecture, meta-data, content type, sensitivity labels, permissions management, content lifecycle, and naming conventions
- Strong communication skills with the ability to translate technical concepts and governance standards into clear, practical guidance for everyday users
- Experience working with Records and Information Management teams or applying information management principles in a SharePoint environment
- Ability to gather feedback, identify patterns, and prioritise improvements in a continuous improvement mindset
- Highly organised with the ability to manage multiple concurrent enablement activities across different business areas and priorities
- Ability to work independently, show initiative, and manage workload without close day-to-day supervision
